Your Data
Your data
What happens to information about you and your business — as a visitor to this site, and as a client. If anything here is unclear, ask me.
This website
No analytics. No tracking cookies. No advertising pixels. No signup form. The only information collected is the standard server log kept by the host, which records requests and IP addresses for security and is not linked to you. The qualifier questions on the "Is this for you?" page run entirely in your browser — nothing is sent anywhere and nothing is stored.
If you get in touch
I use your email address and phone number only to reply to you and arrange a call. I don't add you to a mailing list, I don't share them, and if you don't become a client I delete the exchange after twelve months.
What I never ask for
I don't need access to your systems. No logins, no customer records, no finance systems, no mailboxes, no exports. The assessment is built from conversations and from watching how work moves. If you want me to look at something specific, you show me on your screen.
Recording and transcription
I record and transcribe the discovery and review calls, and the staff interviews. I ask for consent out loud at the start of every call, including from your people — not just from you. The recordings exist so the write-up is accurate rather than dependent on my notes. If anyone would rather not be recorded, say so and I'll take notes instead.
AI analysis
This is a separate thing from recording, and I list it separately because it is a separate use of your information.
Transcripts and my own notes are analysed using Claude, under Anthropic's commercial terms. Those terms prohibit training models on the content. I use it to cross-check what I heard across interviews and to make sure I haven't missed something obvious. I don't use it to decide what to recommend, and every figure in the report is one I have worked out and checked myself.
The tools I use
| Purpose | Tool | Trains on your data | Agreement in place |
|---|---|---|---|
| Scheduling, calls, recording and transcription | Google Workspace and Google Meet | No | Data processing amendment with Standard Contractual Clauses |
| File storage | Google Drive | No | As above |
| Intake and qualifier forms | Google Forms | No | As above |
| Analysis | Claude, under Anthropic commercial terms | No | Data processing addendum with Standard Contractual Clauses |
| Payment | Stripe | Not applicable | Data processing agreement |
Google and Anthropic both process data on global infrastructure. Transfers are covered by Standard Contractual Clauses and the EU–US Data Privacy Framework. Copies of the relevant agreements are available on request.
How long I keep things
| What | How long | Why |
|---|---|---|
| Call recordings (audio) | 30 days after your report is delivered | Once transcribed and the report is written, the audio has no further purpose |
| Transcripts and my notes | 12 months | Needed for the proposal and any follow-on work |
| Your report and the figures you signed off | 6 years | The signed figures are the evidence behind the guarantee, and six years is the contract limitation period |
| Invoices and payment records | 6 years | HMRC requirement |
| Enquiries that don't become engagements | 12 months | No purpose beyond that |
You can ask me to delete anything earlier and I will.
YouTube
Adapt Labs publishes videos on YouTube at @AdaptLabs. I upload and manage them with Adapt Labs Uploader, a small internal tool that uses YouTube API Services. Only I use it, and only with the Adapt Labs channel. It is not offered to anyone else.
When I sign in with Google, the tool is allowed to upload videos to that channel, set their titles, descriptions, thumbnails, captions, playlists and publish times, and list the channel's own videos. It does not collect, store or share any information about viewers or other YouTube users. The sign-in token is kept only on my own computer and is never shared.
Use of the tool is bound by the YouTube Terms of Service. Google handles data under the Google Privacy Policy. Access given to the tool can be withdrawn at any time from Google's security settings.
Your rights
Under UK GDPR you can ask me for a copy of the information I hold about you, correction of anything inaccurate, or deletion of anything I no longer need to keep. Email hello@adaptlabs.co.uk and I'll respond within a month. There is no charge.
If you think I've handled your information badly, you can complain to the Information Commissioner's Office at ico.org.uk. I'd rather you told me first, but you don't have to.
